Choose a Venue

Take a look at our conference meeting venue tips to help you choose a venue and plan your event:
- Hotel/Residential Conference Centre
This venue is best for all round events requiring accommodation and support facilities. Choose a venue that caters ideally for a one-stop conference programme.
- Non-Residential Conference Centres
These offer ideal venue hire for day events, training and smaller seminars. Choose a venue that takes into consideration ease of access as nobody really wants to get caught in heavy traffic getting there.
- Venue Size
For events of 200+ you need to plan early. Preferably give yourself at least six months to be able to choose a venue for your group of delegates.
- Event Type
If it’s formal and for a larger group, a conference or seminar may work better. For a larger event, choose a venue with one large conference room, with enough space for catering (separate from the main room, as setting up can be noisy) and a delegate registration area close to the main room. Don’t forget to choose a venue that has separate breakout rooms.
- Event format
Always choose a venue that will be able to give you flexibility on format. Choose from delegates seated at tables (classroom style), or in rows (theatre style). Another option is cabaret style, which is 5/6 delegates seated at a round table, all facing the front of the room. But this can be harder with larger numbers, as more space is required.
- Location
To choose a venue that will guarantee a successful outcome, one has to take into consideration the logistics of the chosen venue. The critical choice with conference, meeting and venue hire is often one of deciding between a central venue location with good transport links or an out of town venue, where delegates can be cosseted for a day or two.
